Executive Assistant to CEO

North America's leading independent real estate firm specializing in retail leasing, investment sales and consulting services, our company provides a broad spectrum of domestic and global clients with services ranging from national tenant and owner representation, investment sales and acquisitions and consulting. 

Responsibilities:

Answer and screen all incoming calls to the CEO. Maintain detailed message log. Communicate timely with CEO and follow-up with parties involved
Manage complex and ever changing calendar. Schedule professional and personal appointments, conference calls, lunches, events. Prepare meetings and conference room bookings, set up meeting material, catering.
Prepare and edit emails, correspondence, spreadsheets and presentations.  Write and review documents on CEO's behalf , discretion, confidentiality and efficiency are a must
Schedule meetings with CEO and senior management and sales team.
Heavy errands out of office. Manage and direct Personal Driver related to CEO's daily schedule, approve hours.
Provide backup support to PA as needed.

Requirements:

5-10 years EA to C-level executive
Excellent verbal and written communication skills
Proven organizational abilities, attention to details and accuracy
Excellent follow-through skills to meet tight deadlines
Must work with a sense of urgency and be very detail oriented
Must remain calm under pressure
Must be flexible with hours and be on call when necessary

Strong MS Word, Outlook, Excel and internet research exp.
College Degree proferred
